Locating FAQ

Below is a useful selection of information which we hope will address your initial questions. For further information please contact Steve who will be pleased to help.

Access to the building

You will have 24/7 access to the building. You will be provided with keys for your office and also swipe cards to access the building according to your requirements.

Broadband Connection

There are 4 levels of bandwidth to choose from at varying cost. You will be provided with a specified number of Global IP Addresses.

Café21

The building has its own café on the top floor. It is open Monday to Friday 8.30am - 4.30pm. You can request delivery of food and/or drinks to your office or to your meeting in a meeting room.

Charges

There are six itemised charges that are invoiced and payable monthly:

  1. Knowledge Transfer Fee
  2. Business Rates (as per local authority charge)
  3. Service Charge (cleaning, provision of receptionist etc)
  4. Furniture (the furniture is charged at cost over a 24 month period, i.e. 1/24 per month is charged)
  5. Telephones (line rental, provision of handset and call costs)
  6. Broadband Connection (as per the chosen bandwidth)

Costing will be provided on application.

Cleaning

The offices are cleaned during the week.

Deposit

A deposit is required to reserve an office - it is retained during your residency until the time when you vacate your office.

Furniture

There is a vast range of new furniture to choose from, including:

  • Rectangular/left-handed/right-handed workstations
  • Pedestal units
  • Operators chairs
  • Circular meeting tables
  • Printer tables
  • Visitor chairs
  • Filing cabinet
  • 3 sizes of bookcase
  • 3 sizes of tambour unit
  • Whiteboards
  • Coat stands
  • Waste bins

Your room will be furnished acoording to your choice. Ffurniture is charged at cost over a 24 month period - ie. an instalment of 1/24 per month.

Identity

Your address will be: Your company name, Knowledge Business Centre, InfoLab21, Lancaster University, Lancaster, LA1 4WA. Your company name will appear on the 3 directory signs of the KBC Wing. Your company name and extension number will appear at Reception so that visitors can contact you should Reception be unattended (a telephone is provided). Your company name and logo will appear on your office door.

Insurance

The University insures the building, the individual company is responsible for the insurance of the Contents within its office and also Public Liability insurance cover with a minimum indemnity of £2,000,000 is required.

Licence Agreement

The document which is the agreement between the resident company and Lancaster University is a Licence Agreement; it states the responsibilities of both parties and lays out what the resident company is provided with in terms of services, how to terminate the agreement and so on.

Meeting Rooms

You may use the KBC Boardroom, the Bridge Meeting Rooms and the Conference Room. You have 4 hours free use per month (of the Boardroom or a Meeting Room); this allowance can be 'rolled over' across months within a quarter. Set room charges apply for use beyond your free monthly allowance. You may book refreshments and/or catering via Café21.

Parking

You may purchase a Lancaster University parking permit (permits can be used by more than one vehicle, but not at the same time). The fees are on an annual basis per academic year. For the 2005/06 Academic Year a permit for the Inner Zone is £90 and the Perimeter Zone is £39 (currently the whole section that runs past InfoLab21 is classified as Perimeter Zone, but having an Inner Zone permit allows you to park in a lot more places on campus than a Perimeter Zone one). Parking is on a first come, first served basis. If you have visitors, day passes can be obtained from InfoLab21 Reception (there is no charge) and there are first come - first served visitor parking spaces near to the building.

Post

Incoming post is delivered to your room by the Receptionist. You can take your outgoing post to Reception, where it will be collected and taken to the campus Post Office.

Quotation

Steve or Anthony will be pleased to supply you with a Quotation on a specific rooms that you are interested in.

Reception

InfoLab21's Receptionist will distribute the post to your office, greet your visitors, receive parcels and generally help you as best as possible as you reside in the building. The receptionist generally works Monday to Friday 8.00am to 4.00pm.

Residency Period

The Licence Agreement is initially issued for a period of 12 months, with the possibility of extending it by a further 12 months by agreement.

Security

Security is a priority for all building users, swipe cards enable users to access pre-designated areas only. We respect your company's needs of privacy and security, therefore only the cleaners will access your room in your absence (unless you choose otherwise). Other than them nobody will access your room (for maintenance purposes or other) without your prior consent, unless of course in an emergency (e.g. a fire).

Size of Offices

The 20 offices (they are situated on the ground floor and first floor of the KBC Wing) vary in size, from a 2 person office of 13 square metres through to a very large office of 84 square metres which could easily hold 15 or more people. Offices are subject to availability - Steve or Sarah can inform you of current availability.

Smoking

Please note InfoLab21 is a non-smoking building. Outdoor smoking facilities are provided.

Telephone

Your office will be equipped with VOIP telephones according to your requirements. Our telephones allow direct-dialling to your office and support Caller ID, call history, call divert, voicemail and group pick-up.

Viewing

If you would like to arrange a viewing of the building and of the currently available offices (that are pre-laid out with sample furniture to help you choose) please contact Steve or Anthony and they will be pleased to arrange this for you.

Visitors

The Receptionist will greet your visitors. Day Parking Permits can by provided to them free of charge. Your extension number will be displayed at reception to allow visitors to telephone you if the receptionist is not on duty when visitors arrive.
